Asset Register

Manage equipment, infrastructure, and property assets for maintenance tracking.

1Asset Categories

Assets are organized into categories for easy navigation:

Power & Solar - Inverters, batteries, solar panels • Generators - Backup power systems • Water Systems - Pumps, tanks, filtration • Pool Equipment - Pumps, heaters, chlorinators • Kitchen - Cold rooms, appliances, equipment • Laundry - Washers, dryers, ironers • HVAC - Air conditioning, heating, ventilation • Vehicles - Lodge vehicles, shuttles, maintenance bakkies • Other - Security systems, fire safety, miscellaneous

2Criticality Levels

Each asset has a criticality rating that indicates its importance:

Critical (Red dot) - Failure stops operations or creates safety risk. Examples: main power system, fire panel, cold rooms • High (Orange dot) - Significant impact on guest experience or operations. Examples: pool pump, guest vehicles • Medium (Blue dot) - Moderate impact, workarounds available. Examples: backup systems, secondary equipment • Low (Grey dot) - Minimal operational impact. Examples: aesthetic items, non-essential tools

3Asset Codes

Each asset has a unique code for quick reference:

PWR-001 - Power systems • WTR-001 - Water systems • POL-001 - Pool equipment • KIT-001 - Kitchen equipment • LND-001 - Laundry equipment • HVC-001 - HVAC systems • VEH-001 - Vehicles • SAF-001 - Safety systems

Use these codes when creating tickets or referencing assets in communications.

4Tags for Organization

Tags help you filter and find assets quickly:

critical-infrastructure - Must-have for operations • guest-areas - Visible or used by guests • load-shedding - Related to power backup • food-safety - Affects food storage/preparation • housekeeping - Used by housekeeping team • compliance - Required for regulatory compliance

Click on tags to filter the asset list. Assets can have multiple tags.

5Warranty Tracking

The system automatically flags warranty status:

Expired (Red) - Warranty has ended, consider service contracts • Expiring Soon (Amber) - Less than 90 days remaining, plan ahead

Review expiring warranties monthly to negotiate renewals or plan for replacement.

Pro Tips

  • Add serial numbers and photos for all valuable equipment
  • Set maintenance intervals based on manufacturer recommendations
  • Use tags consistently across all assets
  • Review critical assets weekly for any status changes
  • Keep warranty documents linked to asset records
